How we handle the information you share with us — in plain language, with no surprises.
Asian Resource Foundation USA, Inc. (“ARF USA”, “we”, “us”) is a 501(c)(3) nonprofit organization registered in the United States, EIN 81-4998166. This policy explains what personal information we collect through https://arf-usa.org, why we collect it, and what we do with it.
The short version
We do not use advertising, analytics or tracking cookies. We do not sell, rent or trade your personal information to anyone, ever. We only collect information you deliberately give us — by sending us a message or by making a donation — and we use it only to respond to you and to meet our legal obligations as a nonprofit.
Information we collect
When you contact us
Our contact form asks for your name, email address and message. Submissions are processed and stored by Netlify, our website host, and forwarded to our team by email. We use this information solely to reply to you and to keep a record of the correspondence.
When you donate
Donations are processed by Givebutter, a third-party fundraising platform. Your payment is handled entirely on Givebutter's systems — we never see or store your card, bank or payment details. Givebutter shares with us the information needed to acknowledge your gift and meet IRS requirements, which typically includes your name, email address, mailing address and donation amount. Givebutter's handling of your data is governed by its own privacy policy.
Automatically, when you visit
Like every website, ours runs on servers that keep standard access logs. Netlify records technical details such as your IP address, browser type and the pages requested, for security and to keep the site running. We do not combine these logs with any other information, and we do not use them to identify individual visitors.
Cookies
This website sets no cookies of its own and embeds no advertising or social media trackers. If you follow a link to Givebutter or another external site, that site may set its own cookies under its own policy.
How we use your information
- To reply to your enquiries and stay in touch about work you have asked to hear about
- To process, acknowledge and receipt your donation
- To keep the financial and donor records that U.S. nonprofit and tax law require of us
- To protect the security and integrity of our website
We will not add you to a mailing list simply because you donated or wrote to us. If we ever start sending a newsletter, it will be opt-in, and every message will carry an unsubscribe link.
Who we share it with
We share personal information only with the service providers that make this site and our fundraising work — principally Netlify (hosting and form handling) and Givebutter (donation processing) — and only to the extent they need it to provide that service. We may also disclose information where the law requires it, or to protect the rights and safety of the organization and the people we serve.
We are required to file an annual IRS Form 990, which is a public document. Major contributors are reported to the IRS on Schedule B, but donor names and addresses are redacted from the copy made available to the public. Beyond what the IRS requires us to file, we do not publish or share donor names or amounts without permission.
How long we keep it
Contact form messages are kept for as long as they are useful to the conversation and then deleted. Donation records are retained for at least seven years, as U.S. tax and nonprofit recordkeeping rules require.
Your choices
You can ask us to tell you what personal information we hold about you, to correct anything that is wrong, or to delete it — except where we are legally required to keep a donation record. You can also ask us to stop contacting you at any time. Email info@arf-usa.org and we will act on your request promptly.
Children
This website is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
Security
The site is served over HTTPS, and payment processing is delegated to a PCI-compliant provider. No system is perfectly secure, but we limit our exposure by collecting as little as possible and never storing payment details ourselves.
Changes to this policy
If we change how we handle your information, we will update this page and revise the date at the top. Material changes will be described here rather than made quietly.
